The Sunday Morning AV Checklist.
The pre-service routine that catches problems before the congregation does — power-on order, internet, audio, video, and the OBS/vMix encoder checks — on one sheet you can tape to the booth desk and hand to a brand-new volunteer.

Church Date Operator
Power & facility
- Power on in order, 60s apart: network switch → cameras → switcher → mixer → streaming PC
- Walk the room: every camera shows power + network (no dark or red LEDs)
- House lights at real service level — not rehearsal look
- Booth PC: no updates pending, no extra apps running
Internet
- Streaming PC is on wired ethernet — not WiFi
- Speed test: upload is at least 2× your streaming bitrate
- Backup path (hotspot) charged, tested, credentials written down
- Nothing else on the network is eating upload (backups, sync, updates)
Audio
- Every mic used today tested against the meters — speech peaking ≈ −6 dB, vocals ≈ −12 dB
- Wireless mic batteries ≥ 75% (swap anything below 50%)
- Master fader up and NOT muted
- Headphone check on the stream mix — not just the room
Video & presentation
- Every camera live, framed, responding (quick PTZ pan test on each)
- Presentation file is TODAY's — songs and message notes verified
- Press through every scene/transition while watching the program monitor
- Confidence monitor and lobby feeds showing what they should
Encoder (OBS / vMix)
- Correct profile / preset loaded — the dated, last-known-good one
- Stream key + destination verified (re-paste if anyone clicked End Stream last week)
- Encoder audio meters moving; correct source and track/bus selected
- 15-second test stream — confirmed live on the platform, then stopped
- Recording path set, drive healthy, plenty of free space
- OBS: preview via Studio Mode · vMix: render FPS steady at project rate
Operators ready
- Run sheet visible at the operator position; cue points marked
- Backup person walk-through: viewer's-eye check of cameras and room
- Pastor sound check at normal speaking voice
- Two-minute crew cue: audio ✓ switcher ✓ stream ✓
During the service
- Start stream at the agreed signal point — verify it's live on the platform
- Watch audio meters continuously; adjust gently, never dramatically
- Watch dropped frames (OBS) / render FPS (vMix) — the curve, not the snapshot
- One change at a time — and say out loud (or type) what you touched
- Non-critical problems wait; you're worshipping, not troubleshooting
After the service
- Stop stream after the closing music — confirm the platform shows offline
- Shut down properly: encoder closed normally, faders zeroed, master muted, PC shut down cleanly
- Recording copied to a second location — never one copy of a service
- Post in team chat: what broke, what you touched, what next week should know
- Batteries, storage space, and cables checked for next Sunday
Two rules that make every fix safer: change one thing at a time, and say what you touched. Free AV monitoring, alerts, and the Signal Map: worshipmetrics.com · Help 7 days a week: 910-WORSHIP
Why these exact steps?
Every line above earned its place by failing somewhere on a Sunday. The full reasoning — with the training narrative for new volunteers — lives in the complete Sunday morning AV guide, and when something still breaks mid-service, the symptom-first field guides have your back: OBS troubleshooting and vMix troubleshooting.
And half of this list can simply stop being manual: Pulse watches the machines, streams, and devices from the moment the booth powers on, Tech Manager runs the encoder checks every few seconds and fixes the routine failures itself, and every service ends with a health report — free forever, for the whole team.
